Switching to Brebo

We handle the hard part.

Moving platforms is the thing agencies put off for years. Brebo makes it straightforward — we migrate your data, train your team, and have you billing on your first day live. Starting at $10 per active client.

How the transition works

Three things happen before your team logs in for the first time — and none of them are your responsibility.

01

Your data moves with you. Free.

Before your team logs in for the first time, your existing data is already in Brebo. We import client records, staff profiles, active authorizations, and historical billing at no charge — so your team picks up where they left off, not from a blank screen.

  • Client demographics and contact records
  • Active service authorizations and billing codes
  • Staff profiles, certifications, and credential expiry dates
  • Historical billing records on request

Free data migration for agencies with 20+ active clients. Setup fee waived.

02

Your team is trained before day one.

We train two audiences separately, because coordinators and direct support staff have completely different jobs. Coordinators learn billing, scheduling, and reporting. DSPs learn the mobile app — clock-in, shift notes, medications, and goals. Nobody gets a generic walkthrough.

  • Coordinator training: scheduling, billing, eligibility, reporting, and permissions
  • DSP mobile app training: clock-in/out, required shift notes, eMAR, and goal logging
  • Admin training: team management, compliance settings, and audit reporting
  • Follow-up sessions available after go-live — no extra charge

Most agencies are fully operational within two weeks of onboarding.

03

Billing set up before your first shift.

Medicaid billing is usually the thing that makes agencies nervous about switching. We configure your service codes, payer connections, and billing rules before you go live — so your first documented shifts generate real claims, not test transactions.

  • Service code catalog configured with your current codes and modifiers
  • Payer connections established for your state Medicaid program
  • EVV routing set up for state-mandated aggregators
  • First claims reviewed with your team before submission

We stay until your first billing cycle closes cleanly.

You don't figure it out alone.

Every Brebo agency has a dedicated implementation contact through go-live, and ongoing access to support after that. When something breaks or a billing question comes up at 4 PM on a Friday, you reach a person — not a ticket queue.

Implementation support

A dedicated contact for data migration, configuration, and training — available throughout your setup period.

Ongoing support

Real people for billing questions, EVV issues, and platform questions after you go live. Included in your plan.

State compliance updates

When your state changes EVV requirements or updates billing rules, Brebo pushes the update — you don't have to ask.

Common questions

How long does migration actually take?

Most agencies are live within 10–14 days of signing. The migration itself (importing your data) typically completes in 2–3 business days. The rest of the time is spent on configuration and training.

Do we have to pay while we're setting up?

No. Your billing starts on your go-live date — the date your team begins using Brebo for real shifts. The setup period is on us.

What if we're mid-billing-cycle when we switch?

We coordinate the transition so there's no gap in billing. Your pending claims from the previous platform can be completed before cutover, or we can manage historical submissions alongside your new Brebo billing.

Can staff use both platforms during the transition?

Yes. We typically run a parallel period of 1–2 weeks where staff use Brebo for new shifts while historical records are finalized in the old system.

Do we lose our current documentation history?

No. We import historical records and keep them accessible in Brebo. For records that can't be imported (due to format limitations from your previous platform), we can store exported PDFs in Brebo's document system.

Is billing, eMAR, and the mobile app really all included?

Yes — scheduling, EVV, shift documentation, eMAR, goal tracking, incident reporting, Medicaid billing, document storage, and the DSP mobile app are all part of the $10/client base price. Optional third-party integrations — like syncing hours to a payroll platform (Gusto, ADP) or routing claims through a clearinghouse — are add-ons with pricing shown clearly before you enable them.
